Wholesale Policy
Effective Date: 22 October 2025
Thank you for choosing Hamilton Grooming. These wholesale terms govern all business-to-business (B2B) sales and apply to all authorized retail partners, barbershops, and distributors.
1. Order Acceptance
All wholesale orders are subject to approval and payment prior to fulfillment. Once accepted and invoiced, orders are considered final. No cancellations or modifications will be accepted once an order has entered production or has been packed for shipment.
2. Case Packs and Minimums
All wholesale orders must meet published minimums and be purchased in full case pack quantities (e.g., 15 units per case unless otherwise stated). Mixed-scent cases or single-scent cases are available as listed. Custom assortments are not supported unless explicitly agreed in writing.
3. Shipping and Delivery
Orders ship FOB Hartford, CT, meaning title and risk of loss transfer to the buyer once the shipment is tendered to the carrier. Hamilton Grooming is not responsible for delays, damages, or losses occurring after handoff to the carrier.
- Carrier Damage: Buyer must inspect deliveries immediately upon arrival and report any visible damage to the carrier at the time of delivery.
- Concealed Damage: Must be reported to Hamilton Grooming within 5 business days of delivery with supporting photos. Claims filed after this window may not be honored.
4. Returns and Exchanges
Wholesale orders are non-returnable and non-refundable except for confirmed product defects or shipping errors by Hamilton Grooming. Unauthorized returns will be refused and returned to sender at the buyer’s expense.
5. Product Freshness and Shelf Life
All products are marked with a batch code to ensure traceability. Products carry a minimum 12-month shelf life from manufacture. Hamilton Grooming does not accept returns or issue credits for expired or unsold inventory. It is the buyer’s responsibility to rotate stock and manage sell-through.
6. Pricing and MAP (Minimum Advertised Price)
Buyers must adhere to the published MSRP and MAP guidelines. Discounting below MAP without written authorization may result in account suspension or termination.
7. Replacements and Shortages
All claims for missing or incorrect items must be reported within 5 business days of receipt. If Hamilton Grooming confirms a shortage or error, a replacement or credit will be issued at our discretion.
8. Storage and Handling
Buyer is responsible for storing all products in a cool, dry environment away from direct sunlight and heat sources. Hamilton Grooming is not responsible for damage resulting from improper storage or handling.
9. Resale Territory
Wholesale buyers may sell products only through their approved storefront(s) or location(s). Online resale, marketplaces (e.g., Amazon, eBay), or redistribution to third parties is strictly prohibited without prior written authorization.
10. Indemnification
Buyer agrees to indemnify and hold Hamilton Grooming harmless from any claims, losses, or damages arising from misuse, mishandling, improper storage, or unauthorized resale of our products.
